SwaadBill

Privacy Policy

Last updated: 8 October 2026

SwaadBill is offline-first billing and kitchen-order software for restaurants, built and operated by Stack Bharat Digital Solutions (“we”, “us”). This policy explains what personal data we handle when you use the SwaadBill mobile app, this website (swaadbill.in) and the SwaadBill dealer panel, and the choices you have. It is written to follow India’s Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.

1. Who is responsible for what

  • Restaurant owners and staff (your account data). We decide why and how this data is used, so for it we act as the data fiduciary.
  • A restaurant’s customers (phone numbers, names, visit history). The restaurant decides why it collects this data, and SwaadBill processes it on the restaurant’s behalf. The restaurant is responsible for having its customers’ consent before messaging them.

2. What we collect

DataWhy we need it
Your name, mobile number, restaurant name, pincodeTo create your account, log you in with a WhatsApp code, and show your restaurant on bills.
Optional address and GSTIN; Dealer IDPrinted on your bills if you add them; the Dealer ID links your restaurant to the dealer who helped you sign up.
Staff and kitchen-display mobile numbersNumbers you add so those people can log in to your restaurant.
Location (once, at sign-up)If you allow it, your device location is read once during registration and stored with your restaurant profile to place it in the right area. We do not track your location afterwards. The app works if you decline.
Menu and sales dataMenu items and prices, bills and their items, kitchen orders, taxes, invoice numbers and promo codes — the core of the service.
Customer details you enterA customer’s mobile number (needed to send a WhatsApp bill), optional name, whether they agreed to WhatsApp messages, and the visit history that comes from their bills.
WhatsApp activityA record of messages sent from your restaurant (type, content summary, status) and delivery status reported back by WhatsApp.
Voice ordersWhen you tap “Speak your order”, the recording is sent for transcription and matched against your menu. We do not keep the audio.
Menu photosA photo you take or pick to scan a paper menu is sent for text extraction. We do not keep the photo.
PaymentsSubscription and wallet payments are handled by Razorpay. We receive the payment ID, amount, plan and status. We never see or store your card, UPI or bank details.
Device and technical dataA push-notification token for your device (for sales alerts), a signed login token kept on your device, and standard server logs (IP address, timestamps) kept by our hosting providers.

3. How we use it

  • To run SwaadBill: billing, kitchen orders, reports, sync between your devices, and backups.
  • To send login codes, and to send bills and offers on WhatsApp when you or your staff ask us to.
  • To power optional AI features: voice-to-bill, menu scanning, and drafting a suggested offer when your sales dip.
  • To manage subscriptions, wallet balances, invoices and dealer commissions.
  • To keep the service secure, prevent misuse, fix problems, and meet legal obligations.

We do not sell personal data and do not use it for third-party advertising.

4. Who we share it with

We use the following service providers to operate SwaadBill. Each receives only what it needs for its job.

  • Supabase — database and server functions where your data is stored (servers in Singapore).
  • Gupshup and WhatsApp (Meta) — deliver login codes, bills and offers. They receive the recipient’s mobile number and the message content.
  • OpenAI — receives voice recordings (for transcription), menu photos (for item extraction), and, for sales-dip offers, your restaurant name and how far sales are below normal. Under OpenAI’s API terms, data sent through the API is not used to train its models by default.
  • Razorpay — processes subscription and wallet payments.
  • Expo — delivers push notifications to your device.
  • Vercel — hosts this website and the dealer and admin panels.

Dealers. If you entered a Dealer ID when you signed up, that dealer can see, in their panel, your restaurant name, your name, your mobile number, your pincode, your subscription plan, status and renewal date, and the commission earned on your payments. They cannot see your bills, menu or customers.

We may also disclose data where the law requires it, for example to a court or government authority.

5. Where your data is processed

Our providers run servers outside India (for example Singapore and the United States). We choose established providers with security safeguards and share only the data needed for the service.

6. Customers and WhatsApp consent

SwaadBill records, for each customer, whether the restaurant has their consent to send WhatsApp offers. The consent box is never pre-ticked, and offers are only sent to customers marked as consenting. A customer can withdraw consent at any time by telling the restaurant, which must then stop messaging them, or by blocking the business on WhatsApp. A restaurant that needs a customer’s data removed can ask us using the details below.

7. How long we keep data

We keep your data while your account is active. When you delete your account we delete or anonymise it, as described on the Delete your account page. Some records — such as payment, invoice, wallet and commission records — may be kept, with personal details removed, for as long as tax and accounting law requires. Copies in routine backups are overwritten on the normal backup cycle.

8. Security

Data is sent over encrypted connections, each restaurant’s data is kept separate and only reachable with a signed login, and access to our systems is limited. No system is perfectly secure, but we work to protect your data and will notify you and the authorities of a breach as the law requires.

9. Your rights

Under the DPDP Act you can:

  • ask what personal data we hold about you and how it is used;
  • ask us to correct or complete it;
  • ask us to erase it and close your account;
  • withdraw consent you have given us;
  • nominate someone to exercise these rights for you, and complain to us if you are unhappy.

To use any of these, contact us below, or follow the steps on the Delete your account page for erasure. If we cannot resolve a complaint, you may approach the Data Protection Board of India.

10. Children

SwaadBill is a business tool for restaurant owners and their staff. It is not meant for anyone under 18, and we do not knowingly collect children’s data.

11. Changes to this policy

We may update this policy. The date at the top shows when it last changed, and we will tell you in the app or on this site about material changes.
